Project Coordinator

Assistant Project Mgr.

The Assistant Project Manager position is responsible for helping with project management tasks as well as providing support with various administrative functions by performing the following duties.

Responsibilities

1. Performs labor on jobsite with temporary workers including general carpentry, housekeeping, safety, site security, material handling, forklift operation, quality control, sub-contractor parking, and other projects as needed.
2. Oversees and coordinates the work of temporary labor and sub-contractors on projects.
3. Assists Superintendent with Site Coordination of Subcontractor’s, materials, and deliveries.

Duties

• Recognizes and communicates to Superintendent and/or Project Manager any priority projects or problems, such as temporary labor and material needs and safety or security concerns.
• Manages site appearance, clean up and maintenance.
• Reviews and becomes familiar with all filed Pre-Task Plans and ensure proper safety procedures are followed, brings problems to the attention of the Superintendent, Safety Director or HR Manager.
• Reviews and verifies temporary labor time sheets and submits to Superintendent for approval; ensures that hours are assigned properly.
• Relates to the public and to customers in a professional, courteous and respectful manner, appropriately responding to their complaints.
• Follows Daily Foreman Procedures & Protocols as set forth in job orientations and trainings.
• Maintains punctual, regular and predictable attendance.
• Works collaboratively in a team environment with a spirit of cooperation.
• Displays excellent communication skills including presentation, persuasion, and negotiation skills required in working with clients and coworkers and including the ability to communicate effectively and remain calm and courteous under pressure.
• Respectfully takes direction from manager.

Overview

This position is responsible for managing document control (RFI/Submittal) and procurement, and managing subcontractor coordination for projects. The Project Coordinator will also manage the assembling and monitoring of budgets and scope procurement, and will be managing projects in various stages of design and construction. This position is primarily a field position responsible for one project at a given time may also be asked to coordinate multiple projects. Full Description

Responsibilities

1. Creates and manages requests for information (RFI) for entire life cycle (issue to resolution to implementation with subcontractor).
2. Reviews, manages, and turns in all project submittals and procures materials for on-time installation.
3. Supports Project Superintendent in maintaining schedule, safety and other tasks as required.

Duties

• Coordinates multiple construction projects, sometimes more than one at a time.
• Maintains current as-builts (open to date record of project documents, with RFIs incorporated and marked up on the plan where the change has occurred).
• Procures materials for on-time installation.
Prepares close-out documents.
• Manages quality control procedure implementation.
• Records meeting minutes and conducts pre-construction meetings.
• Sets example in wearing PPE (Personal Protective Equipment) along with superintendent and reviews Pre-Task plans leads weekly jobsite safety meetings.
• Maintains punctual, regular and predictable attendance.
• Works collaboratively in a team environment with a spirit of cooperation.

Project Superintendent

Overview

The Project Superintendent is responsible for coordinating Subcontractors, managing the construction work, safety procedures, and scheduling of projects by performing the following duties. Full Description

Responsibilities

1. Schedules construction projects from start to finish in Microsoft Project, monitoring progress as needed.
2. Conducts safety meetings and documents accordingly; ensures all OSHA standards are met on the job site, correcting any issues as needed
3. Schedules subcontractors in a timely and orderly fashion to meet project deadlines.

Duties

• Leads and manages small to midsized projects.
• Communicates daily with office personnel providing detailed daily reports of who was on the job, what work was performed, and notable activities and project progress photos.
• Manages a rotating three week schedule for projects, sends updates weekly.
Cultivates positive relationships with both the clients and the subcontractors.
• Manages quality control aspects of projects; sets the expectation of the level of work to be expected and dictates corrections for work that is below the expectation
• Tracks expenses in daily reports and submits all receipts to Accounting Manager.
• Provides on-site coordination of daily logistics on all construction projects within assigned revenue, including job site workers, timelines and deadlines of installments, and which contractors are leading the projects.
• Covers the essential duties of the Project Coordinator in cases of absence.
• Adapts to changing plans and schedules.
• Maintains punctual, regular and predictable attendance.
• Works collaboratively in a team environment with a spirit of cooperation.

Construction Foreman

The Foreman position is responsible for directly supervising and coordinating the activities of temporary labor, including but not limited to carpenters, masons, laborers, etc., and performing supervisory and management functions related to job safety, security, housekeeping and material handling. The Foreman also engages in the same construction trades work as the workers being supervised.

Responsibilities

• Prepares and manages invitations to bid with direction from Project Manager
• Writes scopes of work and assists with subcontract agreements
• Assists in the development and assembly of project budgets

Duites

• Receives, tracks, and effectively manages change orders
• Records meeting minutes and may attend OAC meetings
• Manages select bid list and keeps vendor contacts up to date
• Creates, resolves, and documents punch-list process
• Manages closeout record collection and assembly with assistance from project team
• Point of contact for warranty calls and tracks to resolution
• Maintain project records: meeting minutes, safety records
• Processes RFIs and Submittals with input from Project Coordinator/Project Manager
• Coordinates Meetings for PMs, VP, President
• Plans Safety and Other Events
• May perform on-site project manager duties for smaller scope projects
• Performs take-offs and manages database of unit costs for estimating
• Assists accounting department with cost coding, entering of invoices and preparation of applications
for payment
• Other duties to assist project team
